Compare the work before comparing the cost
A receptionist often handles visitors, administration and internal coordination as well as calls. Use the same working month for every quote
Here is a calculation you can adapt: suppose a business wants additional coverage for 120 recurring enquiries per month, initially estimating three minutes of conversation and two minutes of follow-up per enquiry. That produces 360 conversation minutes and 240 follow-up minutes. These are freely chosen assumptions, not market measurements or AlpenAgent results. Replace them with your observations and ask all three models to cover this scope.
For an internal solution, the arithmetic gives ten hours in this example. Scheduling and covering the required time windows come on top. Those ten hours are not automatically time removed from payroll: if the person is already at reception, interruptions may change without their contracted working time changing. Comparing only these ten hours with an entire new full-time role would be misleading, as would promising a whole salary in savings.
Ask an answering service whether it charges conversation and after-call work separately, and how a brief unsuccessful call is billed. For AI, establish which follow-up tasks are actually automated. A summary does not eliminate manual calendar checks when no booking integration has been set up. Price the remaining work in your team separately; your own business usually has better information about that effort than a public pricing table.
Who owns the handoff?
For a combined setup, define a clear order. Your team might answer during office hours, with additional handling only when the line is occupied or after an agreed interval. This is a possible target workflow, not a promise for every phone connection. The person making the callback needs a complete reachable number and a clear task. Identify who monitors the outstanding list when that person is absent.
For a damage report after closing, “forwarded” is not enough. Establish whether the responsible team was reached or an open request needs follow-up. A human service can encounter the same problem. Agree a backup contact and check the acknowledgement. Avoid a loop in which AI, the answering service and the internal line keep forwarding back to one another.
Keep two separate quality records
The first covers the conversation: understandable language, appropriate clarification and no unsupported commitments. The second covers the completed task: correct record, real appointment, successful transfer or explicitly assigned callback. A model can sound good on the first and fail on the second. During the limited launch, have the same accountable person review both regularly.
Expand only when the agreed tasks work demonstrably. If personal advice dominates, keep it with the team and automate preparation at most. The purpose of this comparison is an appropriate division of work, not an argument for removing the human relationship with the customer.
