Which AI phone assistant fits a Swiss SME? A practical selection guide, not a ranking

Test providers against your call flow: telephony, Swiss German, appointments, data and rollback. Includes a downloadable worksheet.

Telephone handset and modular stones with a caliper checking their fit

The right AI phone assistant is the one that handles your actual call flow within agreed limits. A convincing voice or a long feature list is not enough. Give each provider the same realistic situations and ask for observable results. There is no universally best choice for every business.

This is a buyer’s guide for Swiss SMEs, not a sponsored ranking or a claimed dialect benchmark. Updated 15 September 2026.

Start with the result you need

Before a demo, write down what must exist after the call: a callback note, a qualified enquiry or a genuinely confirmed appointment. Decide when a person must take over. If the operating model is still undecided, start with the AI, answering service and receptionist comparison.

Download the selection worksheet as CSV. Open it in Excel or another spreadsheet application. Record each provider’s evidence, test outcome and open issues. Untested does not mean passed. This is a working document, not an objective market score.

Ask for evidence on these points

CheckEvidence to request
Inbound / outboundConfirm the required call type; an inbound demo does not prove outbound capability.
Existing number, forwarding / SIPTest your phone setup, provider limits, charges and disconnection.
Concurrent callsContractual limit and behaviour when another caller arrives.
Languages / Swiss GermanTest with your actual audience; assess understanding and spoken output separately.
QualificationCorrect required fields, clarification of uncertainty and no invented values.
Booking / Google Calendar / OutlookAvailability, duration, changes and conflicts in the actual calendar.
CRM, such as HubSpotCorrect contact and fields without duplicates; no assumed integration support.
Transfer / fallbackDistinguish live handoff, callback and unavailable staff.
WhatsApp / follow-up / APIRequired channel, permissions, delivery and failure handling.
Logs / transcripts / locationDocument retention, deletion, access, providers and subprocessors.
Setup / usage / supportWritten scope, minutes, extra usage, response times and changes.
RollbackDisable AI and restore previous call handling; test ownership and steps.

“Calendar integration” can mean anything from sending a request to making a confirmed booking. Test a change and a conflict. Look at the destination system, not just the assistant’s answer. Likewise, a promised callback does not connect the caller to a person.

Swiss German: understanding is not the same as speaking

AlpenAgent systems can understand Swiss German, with quality dependent on configuration, provider and actual speech. We cannot guarantee perfect understanding of every dialect. Standard German usually provides the most stable output. Swiss German or mixed output may be possible but needs testing for the deployment.

Claims about Bernese, Valais or Basel dialects are not substitutes for tests. Have people from your audience call with ordinary place names, background noise and corrections. Check names, telephone numbers and appointments especially carefully. No invented recognition rate is presented here.

Six calls to test before approval

  1. A normal request with clear details.
  2. A corrected name or appointment during the conversation.
  3. A question absent from the approved knowledge.
  4. An explicit request to speak to a person.
  5. An unavailable calendar or failed follow-up action.
  6. An urgent or sensitive request outside the agreed scope.

Agree the expected behaviour in advance. These six cases are a starting point, not a complete safety assessment. Many pleasant routine calls must not average away one critical failure. Record the fault, correction and retest before production.

Priorities for four business types

Trades: coverage while staff are on site, correct address and callback details, clear urgency boundaries. No unconfirmed arrival promises.

Garage: workshop capacity, vehicle details, duration and handoff for uncertain technical questions. Confirm only when the calendar operation succeeds.

Property management: property matching, damage intake, on-call routing and backup contact. Establish what is retained and who actually receives the report.

Beauty: correct staff member, service and duration; cancellations and changes without double booking. Pass exceptions to the team.

AlpenAgent has demonstrated inbound answers, qualification, calendars, booking, transfers and follow-ups in real demos. Your project’s combination depends on agreed scope and tests. This checklist does not promise standard support for every named system.

Turn the demo into an acceptance record

Add the starting conditions, expected outcome and observable evidence to every test in the CSV. For an appointment change, include the old booking, the requested new time and confirmation in the destination calendar. If the AI claims success but the old appointment remains, the task has not passed. Repeat the same case after a fix and record the configuration tested.

Separate requirements into essential, useful and later. A pleasant voice cannot compensate for missing human transfer when transfer is essential to your business. Avoid a deceptively precise overall score. A short list of unresolved must-haves is often more useful for a purchase decision than many averaged ratings.

Cross-check answers against technical documentation

Retell’s concurrency documentation describes capacity limits and overload behaviour. Handling several calls does not mean unlimited availability. Its testing overview describes different testing approaches. These sources explain checks to make; they do not prove any particular AlpenAgent configuration.

Ask the provider to reconcile its answer with the documentation applicable to your offer. If a function is available only in another variant, find out before ordering. A screenshot from another project does not demonstrate your calendar permissions or telephone connection. Acceptance should concern the intended connection and agreed access rights.

Select the support arrangement too

Ask who updates opening hours, investigates wrong answers and may perform an urgent rollback. Identify a reachable contact in your business and at the provider. Establish what a support ticket should contain without unnecessarily forwarding whole conversations or customer details. Support is an operational process, not a tick beside a feature name.

For the first production scope, we recommend a written list of permitted tasks and explicitly excluded situations. Add integrations only after their own tests. Keep the worksheet with the acceptance results so that later changes can be checked against what previously worked.

Review data processing and the budget before signing. For an AlpenAgent AI phone assistant, bring your intended workflow and key tests to the Business Check.

FAQ

Should I choose the longest feature list?

Only the functions that demonstrably support your workflow matter. Untested extras do not resolve a specific business need.

Can I keep my number?

Check the connection, provider, forwarding or SIP setup. Ask to see the rollback too.

How should I score the worksheet?

Identify must-haves first. An unmet requirement remains unresolved even if other features perform well. Keep results and evidence.
